What an AI receptionist does on a call
A good one behaves like a front-desk employee who never leaves the desk. It picks up, greets the caller, finds out what they need, checks your real calendar, and finishes the job before the caller hangs up. The difference from an old phone menu (“press 1 for…”) is that the caller simply talks.
What Greeta does today
- Answers calls 24/7 and books, reschedules, or cancels appointments during the call — in Square or the Greeta calendar.
- Texts back callers who hang up or get cut off, so they can book by text. How text-back works.
- Sends SMS confirmations and reminders for appointments.
- Works with your team: staff profiles, days off, the services each person performs, and role-based logins. Team features.
- Speaks English, Spanish, and Polish on the same line, with no language menu.
- Keeps call history with transcripts and AI summaries, in the web dashboard and the GreetaVoice Business app (iOS and Android).
What it can’t (or shouldn’t) do
- It isn’t a person. Greeta identifies itself as your business’s automated assistant, and our Terms don’t allow setting it up to claim it’s human.
- It only knows what you set up. Services, prices, hours, team, and calendar come from your account. If something isn’t there, it can’t invent a good answer.
- It isn’t the best fit for every conversation. Complaints, sensitive topics, or questions far outside booking are better handled by you or your team.
- Recording rules vary. Call recording is optional and you control it in settings; it may be unavailable or off by default in some states.
Can a caller still reach a person?
Yes. Greeta can be set up so calls ring your business first; if nobody answers, after a short delay the call switches to Greeta. Call transfers to a human are also supported. So the AI covers the calls you can’t take, and you keep the ones you want.
Is an AI receptionist right for your business?
It tends to fit when most calls are routine — “Can I book…?”, “Can I move my appointment?”, “Are you open Saturday?” — and when calls arrive while you’re busy with a customer, at lunch, or after closing. It fits less well when most calls need human judgment. A quick way to decide: look at your call log for a week and sort the calls into “routine” and “needs me”. If you want to put a number on the missed ones, use our missed-call cost formula.
How to try one without risk
Greeta’s demo is free: a sample business with services and team is already loaded, and you get 30 minutes of test calls with no credit card. It uses test calls only — there is no live phone number until you upgrade. Ready to hear it? Start the free demo or see pricing.
How to tell whether it’s working
Don’t judge an AI receptionist by a brochure; judge it by calls. Make a few test calls yourself and ask for the things your real customers ask for: a service that needs a specific person, a time that’s already taken, a change to an existing booking. Then check three things: did it understand the request, did the booking land in the right calendar, and did it hand off cleanly when it couldn’t help?
A good rule of thumb: if you would be comfortable with a new human hire handling the call the same way, the setup is ready. If not, adjust your services, hours, or team settings and test again — that’s exactly what the free demo is for.
