Staff schedules, days off, and role-based logins explained

An AI receptionist is only as good as what it knows about your team. Here’s how Greeta keeps your people, their time off, and their access in order — so the right person is booked, and everyone sees only what they should.

Staff profiles and the services each person performs

Each team member has a profile, and you choose which services that person performs. When a customer asks for a service, Greeta only offers times with people who actually do it. When a customer says “any available person”, Greeta looks across the team. In our own sample test call, the caller asked for any available team member on Monday and was booked with one of the team at 9:00 AM.

Days off

Mark a team member’s days off, and the voice agent doesn’t book people who are off. That stops the classic problem: an appointment confirmed for someone who isn’t in. Set days off before the week starts and you can forget about them.

Business closed days and holidays

Closed days and holidays are part of your business settings. Add them once — a holiday, a training day, a vacation week — and bookings respect them.

Role-based logins

Every staff member gets their own login and sees only what their role allows. You manage staff profiles, days off, and which services each person performs. That means the owner can see the whole business while a team member sees what they need — and nobody shares a password. Extra staff seats are $15 per month.

Notifications for the owner and staff

The owner and staff get notifications, so the right people stay in the loop when something is booked or changed. You can follow everything in the web dashboard or the GreetaVoice Business app on iOS and Android.

A 10-minute setup checklist

  1. Add each team member and their services.
  2. Enter upcoming days off.
  3. Add the days your business is closed.
  4. Give each person their own login with the right role.
  5. Run a test call in the free demo and ask for “any available person”.

The full list is on the team management page.

Why these details matter on every call

A human receptionist knows who’s in today, who does what, and who’s on vacation next week. An AI receptionist needs the same knowledge written down — and once it is, it applies it consistently on every call, at any hour. The few minutes you spend on team settings are what make “any available person” and “can I book with Maria?” both work correctly.

Everyday scenarios

  • A new hire only does some services. Assign only those services, and callers are never offered times for work that person doesn’t do.
  • Someone is away next week. Mark the days off now; the schedule updates for voice and text bookings alike.
  • The whole business closes for a holiday. Add it as a closed day once instead of editing every person.
  • The front desk needs less access than the owner. Give each person a login with a role that matches their job.

Keep it current

The habit that pays off most is a two-minute check once a week: look at the coming days, add any days off that came up, and confirm closed days. Because notifications go to the owner and staff when bookings change, you’ll also see the effect right away in the app.

Decide who should see what

Before you create logins, spend two minutes on a simple question: what does each person need to do their job? Owners usually want the full picture, while front-desk and service staff often only need the schedule and their own bookings. Giving each person the access that fits their role keeps the dashboard clean for them and sensitive settings in the right hands.
