How AI text-back recovers missed calls

Not every caller waits for someone to pick up. Text-back gives them a second door: a message they can answer when it suits them, and book without calling again.

What Greeta does

If a caller hangs up, the call drops, or something goes wrong on the line, Greeta automatically sends them a text. They can reply and book, reschedule, or cancel in the AI SMS conversation — against your live availability — and the visit lands in the same calendar as phone bookings. Nobody at your business has to call back. Follow-up texts go only to people who called your business — they are service follow-ups to the caller’s own call — and customers can reply STOP to stop messages (HELP for help).

Step by step

  1. A customer calls and hangs up, or the call is cut off.
  2. Greeta sends a text to that number.
  3. The customer replies with what they need — for example the service and a day.
  4. Greeta checks live availability and offers open times.
  5. The customer picks one, and the booking is written to your calendar.

Illustrative example — the exact wording may differ. Greeta: “Looks like your call got cut off. Want to book? Tell me the service and a day that works.” Customer: “Friday afternoon?” Greeta: “Friday at 3:30 PM is open. Shall I book it?”

Why a text can work when a callback doesn’t

A callback needs both of you to be free at the same moment, and it’s easy to lose the thread. A text waits. The customer can answer between meetings or on the bus, and the conversation picks up where it stopped. We don’t have a statistic for how often that turns into a booking — it depends on your business — so measure it yourself: count the bookings that start from text-back in your calendar for a month.

Consent and compliance: what to keep in mind

Texting is regulated in the U.S. under the Telephone Consumer Protection Act (TCPA). The FCC explains that its rules require consent before autodialed or prerecorded calls or texts to a wireless number, and that people can opt out at any time — see the FCC guide linked below. This article is general information, not legal advice; ask your own counsel how the rules apply to your business.

  • Missed- and dropped-call follow-up texts go only to people who called your business. They are service follow-ups to the caller’s own call, so the caller has already started a conversation with the business.
  • Customers can reply STOP at any time to stop messages (HELP for help).
  • Customers can also start a conversation by texting your number after seeing your opt-in disclosure; Chat Booking stays off until that disclosure is reviewed. How Chat Booking works.
  • SMS registration is handled by Greeta — nothing for you to set up.

Get the most out of it

What a useful follow-up text looks like

Whatever the wording, the best follow-up texts share a few habits: they say which business is writing, they make the next step obvious (“reply to book” beats a long paragraph), and they stay short enough to read on a lock screen. They also respect the basics — if someone replies STOP, that’s the end of it. Keep the tone the same as your phone greeting so the text feels like part of the same front desk.

Review results weekly

Once text follow-up is running, take five minutes each week to look at your missed calls in the dashboard and see which ones turned into bookings. Compare that with the estimate from your missed-call cost calculation. If follow-ups aren’t converting, the fix is usually your services, hours, or greeting rather than the idea itself.
